Hancock County is located in central Indiana, with Greenfield as its county seat. The county courthouse at 9 East Main Street in Greenfield houses the Clerk of Courts office and all three trial courts that adjudicate criminal, civil, domestic, and probate matters. Court records generated in these proceedings—motions, orders, transcripts, petitions, decrees, and related documents—are maintained by the Hancock County Clerk of Courts in both electronic and paper formats. These records serve as the authoritative account of each case from initial filing through final disposition.

For those researching court cases in Indiana, several pathways exist to locate records. The Indiana Judicial Branch operates MyCase, a statewide public-access portal built on the Odyssey case management system, where users can search dockets and view certain filings at no cost. Clerk offices at the Hancock County Courthouse provide in-person access to public case files during regular business hours. Property and recorded documents are separately available through the Hancock County Recorder’s partnership with Doxpop. Court case information for Indiana counties can also be explored through IndianaStateCourts.us. For official or certified copies of any document, the Clerk’s office remains the definitive source.

Are Court Records Public in Hancock County?

Court records in Hancock County are generally public under both the Indiana Access to Public Records Act (IC 5-14-3) and the Indiana Access to Court Records Rules. The Access to Public Records Act classifies government records as either disclosable or non-disclosable, placing the burden on the agency to justify withholding. Indiana Administrative Rule 9 and the Access to Court Records Rules further define which court records are available through public access—including remote electronic access—and which must be excluded.

Records that are entirely excluded from public access under Rule 5(A) include:

  • All mental health cases filed under IC 12-26
  • Cases consisting solely of investigative process unrelated to pending criminal proceedings (e.g., search warrants, subpoenas)
  • Paternity records created between July 1, 1941, and July 1, 2014
  • Entire cases sealed by court order or declared confidential by statute

Individual documents within otherwise public cases that must be excluded under Rule 5(B) include:

  • Records declared confidential by federal law
  • Guardian ad litem reports, parenting coordinator reports, and custody evaluation reports
  • Medical records compiled under Trial Rule 35
  • Mental health treatment records
  • Drug and substance abuse records governed by 42 CFR Part 2
  • Photographs or recordings depicting certain intimate images

Personal information that must be redacted from public filings under Rule 5© includes complete Social Security numbers, complete account numbers, PINs, and passwords. Names of child witnesses in sex offense cases are replaced with initials. Addresses, dates of birth, and phone numbers of witnesses and victims in criminal, juvenile, and civil protection order proceedings are also excluded.

When a document contains both public and confidential information, the filer must submit a redacted public version on white paper (or as a public e-filing) and a separate confidential version on green paper (or as a confidential e-filing), accompanied by an ACR Form identifying the grounds for exclusion. Under Administrative Rule 9(H), public court records are available for inspection at the courthouse during regular business hours, and electronic records available via remote access are accessible during hours set by the court.

Searching criminal case records. The most efficient method for locating criminal case dockets is MyCase. Search by defendant name or case number to view charges, hearing dates, and dispositions. Certain records—such as arrest warrant applications filed contemporaneously with a request to exclude from public access under Rule 5(E)—will be temporarily withheld until the defendant is arrested.

Statewide criminal history reports. The Indiana State Police maintains a Limited Criminal History (LCH) database covering felony and Class A misdemeanor arrests across the state. A search requires the subject’s name and date of birth; additional details such as race, gender, and Social Security number improve accuracy.

To request an LCH:

  • Online: Visit the ISP Limited Criminal History Search portal. The fee is $15.00 per record for subscribers; credit card users pay a slightly higher processing rate.
  • By mail: Download and complete the LCH Request Form. Submit the form with a money order payable to the State of Indiana to:

Indiana State Police — Criminal History Limited Check
P.O. Box 6188
Indianapolis, IN 46206-6188

The LCH covers Indiana records only. For a more comprehensive report including out-of-state records, consider the fingerprint-based National Full Criminal History check offered by the ISP.
